YCLIENTS report: bookings, visits, payments

Reportkey reads bookings and cash transactions from a YCLIENTS branch and builds a report for the salon or studio owner: how many clients booked, how many showed up, how many did not, which staff members are busy and how much money reached the tills.

Sign up, install the app in YCLIENTS and pick the branch in a project. Your first report in 5 minutes.
  • The app is installed from the YCLIENTS marketplace, no password shared.
  • Bookings, visits, no-shows and online bookings by branch and staff.
  • The salon shares one report with Yandex Direct, VK Ads and Metrica, plus AI insights and branding (not on every plan).

TL;DR

YCLIENTS integration: the branch owner installs the Reportkey app from the YCLIENTS marketplace and provides the branch ID, so no account password changes hands. Bookings, visits, no-shows, online bookings and payments by staff and service go to the owner on schedule as a link or PDF next to ad results.

Beauty salon report built on YCLIENTS data

A salon, barbershop, nail studio or clinic with online booking pays for ads for one reason: to get a person into the chair. A widget booking is still only an intention; people skip appointments or push them back a month. YCLIENTS records that path in detail: when the booking was made, for what time, with which staff member, whether the guest arrived and what they paid. Reportkey reads this through the API and turns it into a section of a recurring report for the owner or manager.

YCLIENTS integration through the app marketplace

The connection differs from ad accounts. The branch owner installs the Reportkey app in the YCLIENTS marketplace, or grants rights to a system user, and provides the branch ID. YCLIENTS issues the token at installation, so the account password is never shared. Reportkey reads bookings, reference lists and finance and does not change the journal.

In a chain each branch connects separately with its own rights. The connection is stored on the Reportkey integrations page, and a project can use one branch or several. If the app is removed on the YCLIENTS side, the connection is flagged for reinstallation and project settings remain.

Bookings and completed visits

The main block comes from the booking journal. Each booking has a creation date, a session time and a last change date, so the report can follow both the flow of new bookings and the load by session day:

  • Created bookings in the period;
  • Confirmed bookings the client confirmed in advance;
  • Completed visits where the guest arrived;
  • No-shows and no-show share for bookings nobody attended;
  • Online bookings made by the client through the widget or app rather than by staff.

Breakdowns cover day, week, month, branch and staff member.

Reading YCLIENTS no-shows

Attendance is encoded with four values: did not come, pending, arrived, confirmed. Deleted bookings are flagged and excluded, so a no-show is a real missed appointment rather than a cancellation. A high share usually points to reminders and prepayment policy more than to ads, which makes the block as useful for the manager as for the marketer.

Services and staff workload

Completed visits produce a services and staff table: visits per staff member and the value of services delivered at list price. It helps decide where ads should go: if the top stylist is fully booked and a junior is idle, promote the junior’s free slots or a specific service.

Payments by till

Money is counted separately from the branch cash transactions: total received, number of payments and average ticket by till. Prepayments, memberships and discounts make list price and cash unequal, and both figures are labelled accordingly.

Online booking and salon ads in one report

Because the API does not tie a booking to a campaign, the ad side is shown for the same period: Yandex Direct spend and clicks, VK Ads campaigns, booking widget goals in Yandex Metrica and Calltouch calls for phone bookings. See the in-house team demo report, other service-business systems on the CRM integrations page, and the 14-day trial on pricing.

Use cases

Why teams connect YCLIENTS to Reportkey

Real reporting jobs, typical pain points, and the outcomes teams get from YCLIENTS in client reports.

Pain points
  • The salon marketer knows the cost per click but not how many people who booked actually sat in the chair.
  • Once a month the manager exports the booking journal for each branch and counts no-shows in a spreadsheet by status colour.
  • The chain owner argues with the agency: ads bring online bookings, the till does not grow, and there is nothing to compare.
YCLIENTS
An agency promoting beauty salons

The client receives a report where Yandex Direct and VK Ads spend sits next to online bookings and completed visits from YCLIENTS. The conversation is about the cost of a client who came, not the cost of a widget submission.

YCLIENTS
A barbershop chain owner

Every branch is connected separately and lands in one report. On Mondays the owner sees bookings, no-show share and payments per location, plus staff workload by number of visits.

YCLIENTS
A clinic or studio that works by appointment

Front desk staff confirm appointments, and the report shows how many visits were confirmed in advance and how many clients never arrived. That is a reason to review reminders, not just ads.

How to connect

Three steps to the first report

Connect the account once, choose the reporting scope, and save the setup for recurring client reports.

01
Connect the account
Save the YCLIENTS connection once so the same datasource can be reused across recurring client reports.
02
Choose the reporting scope
Choose the YCLIENTS account and pipelines that should supply leads, deals, and sales to the report.
03
Save the setup and generate the report
Keep the selected scope in the project and reuse the same report setup next time instead of connecting the source again.
FAQ

Frequently asked questions

Short answers about how the integration works in Reportkey today.

What is needed to connect YCLIENTS?
Owner or branch manager rights. The owner installs the Reportkey app from the YCLIENTS marketplace, or grants rights to a system user, and enters the branch ID. YCLIENTS issues the access token during installation, so no staff login or password is entered.
How is the no-show rate calculated?
Each YCLIENTS booking has an attendance status: arrived, confirmed, pending or did not come. No-shows are bookings marked as did not come among sessions in the period. Deleted bookings carry a separate flag and are excluded, so a cancellation or reschedule never counts as a no-show.
Why does service value differ from payments?
Service value in a booking is the price list amount, while money arrives as cash transactions with prepayments, memberships, discounts and partial payments. Payments therefore form a separate block from transactions, and visit value comes from completed bookings.
Can I see which ad campaign a booking came from?
Not reliably. The API flags online bookings but does not return an ad source per booking. The link to campaigns is shown by neighbouring blocks: spend and clicks next to online bookings for the same period, plus booking widget goals via Yandex Metrica.
How fresh is the data?
Bookings and transactions are read when the report is built. YCLIENTS limits API request frequency, so a branch with a large journal loads page by page. Bookings edited retroactively by the front desk appear in the next report with their new status.
