Planfix report: leads, sales, and sources

Every Planfix account is built differently, so Reportkey does not guess the structure of tasks and deals. It takes the account's ready CRM reports — leads and sales by source, stages, lost deals — and places them next to advertising in a client document.

Sign up, connect Planfix as a CRM report recipient and choose the report in a project. Your first report in 5 minutes.
  • Data from your saved Planfix CRM reports, with no need to rebuild processes.
  • Columns are mapped in the project: source, leads, sales, amount, stage.
  • Conversion by source next to Yandex Direct and VK Ads spend.

TL;DR

Planfix integration: the employee who receives a CRM report grants access with an API token or OAuth, the project picks a saved report and maps its columns, and leads, sales, conversion by source and deal stages go into a recurring report next to Yandex Direct and Yandex Metrica.

Planfix CRM reports in a client document

Planfix is a builder: companies use it for CRM, service desks, project management and production, and two identical setups are rare. A deal may be a template task, a process with its own statuses or a directory record, so the usual read all deals and count approach does not work. Reportkey relies on what the account already has configured: saved CRM reports.

The standard Planfix CRM configuration includes reports on sales, deal stages and conversion by source. Their rows become client report blocks with charts, period comparison and ad data alongside.

Planfix integration: token and report recipient

The connection is made on behalf of an employee. You need the account address and that employee’s API token with read-only report access, or access through an OAuth app. The key Planfix rule: saved report data is visible to the report’s recipients. Before connecting, open the CRM report, add the employee as a recipient and turn on scheduled generation.

The connection is entered once on the integrations page and then chosen in projects. If the token is revoked, it asks for a new sign-in while the chosen report and column mapping stay in the project.

How data is loaded

Reportkey lists the account’s reports, then the saved versions of the chosen one, and reads rows from the latest version. Planfix returns large reports in chunks, which are joined automatically. Starting generation through the API works only on Plan X, at most once every ten minutes and one report at a time, so the main path is a schedule inside Planfix.

Planfix conversion by source

The most requested block is leads and sales by source:

  • Leads — inquiries from each source in the month.
  • Sales — how many of them ended in a sale.
  • Conversion rate — sales as a share of the source’s leads.
  • Sales amount — when the report calculates it.

Columns are mapped during project setup, and the Planfix report itself defines the period and grouping, usually by month.

Planfix sales analytics: stages and losses

The second block shows deals and amount at each pipeline stage. The third covers lost deals and reasons, when the configuration has such a report. Together they show a sales head where deals leak and show an agency whether the issue is handling rather than traffic.

Planfix with Yandex Direct in one report

Planfix blocks usually follow advertising: Yandex Direct spend and campaigns, VK Ads and Yandex Metrica visits and goals. Calls come from Mango Office or Calltouch, and Roistat links spend to sales per lead.

Report branding and AI comments on blocks are not on every plan. Similar systems are grouped under CRM, a finished example is the in-house team demo report, and costs are on the pricing page.

Use cases

Why teams connect Planfix to Reportkey

Real reporting jobs, typical pain points, and the outcomes teams get from Planfix in client reports.

Pain points
  • Planfix has had a conversion by source report for ages, yet the client only sees it as a screenshot pasted into the agency deck.
  • Ad spend and CRM results live in different systems and are merged into one spreadsheet by hand every month.
  • Each Planfix setup is unique, and generic connectors cannot tell a deal from an ordinary task.
Planfix
A company that built its CRM on Planfix

An integrator set up sales processes and reports. The marketer connects a ready CRM report to a Reportkey project, and management gets a monthly document with leads and sales by source under ad spend.

Planfix
An agency running ads for a service company

Client leads are handled in Planfix. The agency asks for one of its people to be added as a recipient of the source report and gets sales numbers in its own report without spreadsheets sent back and forth.

Planfix
A sales head

The deal stage and loss reason report arrives weekly as a clear summary with charts and a previous-period comparison instead of a raw table from the interface.

How to connect

Three steps to the first report

Connect the account once, choose the reporting scope, and save the setup for recurring client reports.

01
Connect the account
Save the Planfix connection once so the same datasource can be reused across recurring client reports.
02
Choose the reporting scope
Choose the Planfix account and pipelines that should supply leads, deals, and sales to the report.
03
Save the setup and generate the report
Keep the selected scope in the project and reuse the same report setup next time instead of connecting the source again.
FAQ

Frequently asked questions

Short answers about how the integration works in Reportkey today.

Which Planfix access is required?
The account address and an API token of an employee with read access to reports, or approved OAuth access. One condition matters: that employee must be a recipient of the CRM report in Planfix, and the report must be generated on a schedule. The REST API is available on paid Planfix accounts.
Why use saved reports instead of reading tasks directly?
Planfix has no single deal schema: one company runs deals as template tasks, another as separate processes, with different fields and statuses. A saved CRM report already holds logic tuned for your account, so client report numbers match what the team sees internally.
Which columns end up in the report?
Those present in the chosen Planfix report. During project setup you mark which column is the source and which are leads, sales, amount or stage. If a metric is missing, add it to the Planfix report first.
How fresh is Planfix data?
As fresh as the last saved version of the report in Planfix. If it is generated nightly, a weekly client report gets data as of that morning. Triggering generation through the API is limited to the Plan X tier and once every ten minutes, so a Planfix schedule is more reliable.
Why can numbers differ from ad accounts?
A lead source in Planfix is whatever a form, telephony or a manager recorded. Yandex Direct and VK Ads count clicks and conversions by their own rules. The two describe one funnel from different sides, so the report shows them next to each other rather than adding them up.
